The Power of Systems in Managing Social Media for Business

Are you an online business owner struggling to juggle life and running a business?
Time is precious, and efficiency is key. To take your online business to the next level, implementing systems is a must.
In this article, we will explore one of the most effective systems for your teacher business – a social media system, specifically Instagram. By repurposing long form content and using templates, you can save time and improve engagement on the platform. Let's dive in and revolutionize the way we do business as women entrepreneurs!
Why a Social Media System is Essential for Online Business Owners
One of the most effective systems you can implement for your teacher business is a social media system, specifically on Instagram.
As we all know, social media platforms are where our audience is. With billions of people using social media daily, it's crucial to have a presence where our potential customers are spending their time. Instagram, in particular, has over one billion monthly active users, and its visual nature makes it perfect for showcasing our products and services. Pinterest is another that holds a teacher audience captive (though we will dive deeper into that system at a later date).
A social media system can help us save time and be more efficient. By planning out our posts in advance and creating templates for graphics and captions, we can streamline our content creation process and focus on other aspects of our business. This also allows us to maintain a consistent brand image and messaging across all our social media platforms.
In addition, a social media system can help us improve our engagement and ultimately drive sales. You know, the big bucks. By repurposing long form content into shorter, easily digestible pieces for Instagram, we can increase our reach and attract new customers. Additionally, by engaging with our audience through comments and direct messages, we can build relationships and loyalty with our followers, leading to increased sales and repeat business.
Overall, implementing a social media system is essential for any solopreneur looking to grow their business and reach more customers. By using platforms like Instagram and repurposing long form content, we can save time, improve engagement, and ultimately drive sales.,
Repurpose Long Form Content for Instagram
Repurposing long form content into bite-sized pieces for Instagram is a great way to expand your reach and attract new customers. By breaking down your longer blog posts, videos, or podcasts into individual posts, you can create a steady stream of content for your audience to engage with, while also promoting your business and brand.
To make this process even easier, you can create Instagram templates that match your branding and style. These templates can be used to quickly create new posts, saving you time and effort in the long run. In the next section, we'll explore how to create and use Instagram templates to streamline your social media system even further.
For instance, in my own business, I have a selection of 10 different Instagram templates that I can use in carousels, static posts, or even Reel covers. With the overall templates complete, I can quickly change the text, colors, and elements in Canva to help me create a month’s worth of content more quickly (while still keeping my branding). More on creating templates below.
In order to help with this repurposing system for social media, start with your blog post, podcast, YouTube video, or even course content to create an easy starting point. Once you have this information, you can break it up into 5-10 main talking points. Create content surrounding different aspects of those talking points. This might be in stories, Reels, carousels, static posts, or a variety of other content (like making a blog into a podcast or YouTube video).
Since these are bite sized, you can make those talking points really expand across a variety of different types of content. We want diversity and we want consistency. Make sure that you know what this looks like for you before you start making your plan.
Once you have some sample templates, be sure that all of your other content is organized.
Ask yourself:
- Where can I easily access all of my photos? Are they organized to find what I need quickly (i.e. product photos for a specific resource versus stock photos vs video footage)?
- Where have I added all of my blogs before they are published?
- Where are my SEO keywords for this month’s topics?
- Do I have a marketing calendar to tell me what is being posted this month and what do I need to drive traffic toward?
- Where do I have all of my links consolidated so that I can link the information when scheduling?
- How am I going to schedule these posts once they are completed?
Now take a breath, all these questions can get overwhelming. Creating foundational systems is a process. Start with one thing (like organizing your images) and then add on once that is complete. The system will help you become efficient over time, but it does also take time to initially implement and organize. You have to have a long term mindset for your business to succeed here.
Now in my own system, I listed out what my main marketing goals were for the month, what blogs I release each week, and then what filler information I can have to give myself a break from creating complex content every single day of the week. If you would like to see the marketing calendar I use to start organizing my social media content, you can have it for the Free Template Starter Kit.
You can decide to take a few days to batch your content or just a few hours a week, but work it in based on your productivity hours. You might be more productive in the morning. I know I can burn myself out if I try to do all my social media in 3-4 days straight, so I would rather space it out and have it all scheduled at the beginning of each week so that my creative juices are flowing more naturally with my creative capacity.
Learn more about how you work best, and that is how your system will develop to be most effective for your online business.
How to Create and Use Instagram Templates
To further enhance your social media game, you might want to consider creating and using Instagram templates that match your branding and style. As we mentioned before, templates help you create a consistent look and feel for your posts, save you time, and streamline your social media system. Using templates can eliminate the need to reinvent the wheel every time you create a new post, allowing you to focus on the content and message that you want to convey.
Creating templates is relatively easy, especially if you use design tools like Canva or PowerPoint. These tools allow you to create custom templates that feature your brand colors, fonts, and logos. You can also add text placeholders, frames, and shapes to give your posts a professional look. Once you have created your templates, you can save them in your library and use them over and over again. Bonus, you can also use templates for other aspects of your business too (more on that inside the Systems and Templates Masterclass).
I suggest creating one document in Canva or PowerPoint that holds all of your templates so that you can easily copy and paste, copy the document, or even pull individually from this one easy to find place.
For me, that means that I create my Canva document that has all of my templates for one month of content. Then, I make a copy of that for the next month, change colors, move things around, change images and graphics, and voila! I know know that I have not repeated any colors or images from month to month and everything still has a cohesive feel to my branding.
Using templates is a great way to ensure that your content stays on brand and consistent. This is especially important if you have a team of social media managers or virtual assistants who contribute to your social media efforts. By giving them access to your templates, you can ensure that everyone is using the same visual language and messaging. Plus, you can easily resize templates to match the different needs of different platforms.
The key in business is to set up the systems, fine tune them, and then delegate so that you can keep focusing on the things that move the needle most.
But, you want to make sure that everything crosses between different team members easily and that the system works within a larger whole so as to avoid confusion (and more of your time) across all team members.
In the next section, we'll explore some tips for improving engagement on Instagram, so you can get the most out of your social media efforts. By combining these tips with the use of templates and efficient systems, you'll be well on your way to creating a winning social media strategy that helps you connect with and grow your audience.
Tips for Improving Engagement on Instagram
Social media platforms like Instagram have become powerful tools for businesses to connect with their audience and build their brand. As a teacher entrepreneur, it is essential to capitalize on this opportunity to establish a strong online presence. Here are a few tips to help improve engagement on Instagram:
- Utilize hashtags: Hashtags are a great way to increase the visibility of your posts and reach a broader audience. Using relevant hashtags can also help you connect with people in your industry or niche.
- Share user-generated content: Encourage your followers to create and share content related to your brand. By reposting their content, you not only show your appreciation, but also provide your audience with a diverse range of content.
- Incorporate video content: Instagram's algorithm favors video content, making it a great way to boost engagement. Create short, engaging videos that showcase your expertise and add value to your audience.
- Engage with your audience: Respond to comments and messages promptly and authentically. This helps to build a strong relationship with your followers and can lead to increased engagement and loyalty.
By implementing these tips and using templates/your overall system to maintain consistency, you can develop a strong social media strategy that helps you grow and connect with your audience.
